Goals of the SWEET database

The aim of the SWEET-initiative is to improve treatment outcomes in individuals with diabetes using a standardized documentation and objective comparison of quality indicators as well as through multi-centre outcome research.

How to collect data

  • We recommend to use the SWEET-DPV-documentation software available at https://sweet.zibmt.uni-ulm.de/software.php, see “SWEET-DPV-software”.
  • If you are already using a patient documentation system in your institution, or if you extract the SWEET-data from a registry, please provide the data as shown in this exemplary excel file

Create a data file (e.g. Excel, CSV, dbf, XML, Access) containing your current data and upload this file to the server (https://sweet.zibmt.uni-ulm.de/uploadSweet).

  • The protection of transmitted data is ensured. The patient data will be included into the SWEET database in anonymized form only.
  • The team in Ulm will check all files and get in touch with you if some clarification is needed.
  • A list of the current SWEET dataset with explanations is available in this document.

  • It is important that the patient identifier (local patient number) remains unchanged over time and is used for one individual patient only.

Sensor data from various CGM-/FGM-meters can be imported into DPV since version 7.35.

If you are not using DPV, you can create a ZIP-file containing all your sensor data.
Please use the following convention for naming the individual files:
“<<patientid>-<<Year>-<<Month>.<<file extension>” (e.g. “745-2019-07.txt”) so we can match your sensor data to your patients’ data.

Things TO DO:
SWEET-DPV software users

  1. One signature at each center!
  2. One database for each signature!!
  3. Install the current software version before each upload!
  4. Never forget your data backup!

Things TO DO:
Individual documentation system

  1. Please make sure that the patient identifier (local patient number) remains unchanged over time and is used for one individual patient only.
  2. Do not change variable names!
  3. Do not change the structure and format of your data file (before contacting the Ulm team)!
  4. Always use consistent date formats!
  5. Variables should be numeric OR character!
  6. If possible, please use the SWEET-Dataset-Example-Sheet!
  7. Please note that according to GDPR your data upload should be additionally secured.
